Minutes of the Fall Meeting
of the Heartland Chapter of the American Society for Indexing
November 5, 2011
MCL Cafeteria, Richmond, IN
Secretary: Minutes of the Fall 2010 and Spring 2011 meetings were read and approved.
Treasurer: The treasurer’s report was submitted.
Co-President: Margaret Hentz thanked everyone for their help this past year.
Co-President: Meridith Murray opened a discussion of potential meeting places. In addition to a Richmond meeting, Indianapolis and Cincinnati were suggested as possibilities. The issue of cost for a meeting place was discussed, and the group seemed to prefer a free space over one we’d have to pay for. Potential speakers were also discussed, including Alexandra Nickerson and Kate Mertes. No decision was made at this time regarding place or speaker.
Newsletter: Editor Carol Reed reported on newsletter committee ideas for integrating the newsletter with the Web site. Finding a host and paying for our own domain name is a possibility. Hosting could be free, with minimal vendor identification, or paid. Paid hosting would cost less than $100 per year and could be paid for with a dues increase or by offering paid business listings. Also mentioned were the advantages of a PDF format for articles. These suggestions will be researched more thoroughly.
Old Business: The topic of e-voting was discussed. Sandy Topping reported that the first try went fairly well, but a few “tweaks” should improve it to everyone’s satisfaction. The Policies and Procedures Manual will need to be changed to reflect e-voting as the new election method.
New Business: Margaret Hentz plans efforts to increase membership. Also, our brochure and publicity should be reviewed and possibly changed. It’s also time for a general review and update of the Policies and Procedures Manual.
A request was made for volunteers for a Nominating Committee. No one volunteered.
The Spring Meeting date will be determined later, when we have more information about speaker availability.
The subject of the Institute of Certified Indexers (ICI) was brought up for an informative discussion of requirements, fee structure, and benefits/disadvantages.
